What data entry measures

Keyboard accuracy and speed under time pressure, and your ability to hold a record in working memory while transcribing it.

These assessments are modular — an agency chooses which components to run and sets its own minimum for each one. We can tell you what the skill is and how to get better at it. We can't tell you what score your agency wants, and anyone who quotes you a universal one is guessing.

How our drill works

It's timed. You get a countdown clock and a fixed run length, because working accurately with a clock visible is a different skill from working accurately without one, and only one of them is being assessed.

Items are generated fresh from a new seed on every run, so you can't memorize your way through them and you never run out. Every run also records the seed that produced it, which means a specific run can be reproduced exactly if you ever want to query how something was scored.

When the run ends you get a breakdown, not just a percentage, including per-field accuracy and your typing rate, with interrupt outcomes reported separately from your task accuracy. The point is to show you where the points went, so the next run can be different.

This module needs a physical keyboard. It measures keyboard speed and accuracy, so a phone touchscreen will give you a misleading score in both directions.

Emergency interruptions

An emergency message appears while you're already mid-task, and you have a short window — commonly around 15 seconds — to respond before it disappears. That's it. It sounds trivial written down, and it is the thing candidates most often report being caught out by.

The reason is that practicing a skill in isolation tells you almost nothing about how it holds up under divided attention. You can be a fast, accurate worker and still come apart when something else starts demanding an answer halfway through — and there is no way to find that out except by being interrupted.

Our interrupts follow three deliberate rules. A late answer earns nothing: a response at 15.2 seconds is a miss, not partial credit. Skipping is penalized rather than treated as neutral, because candidates who learn to dismiss interrupts to protect their primary score are learning exactly the wrong habit for the job. And every interrupt is logged with its timing offsets, so your results screen shows interrupt outcomes and median response time separately from your task accuracy.

That separation is what makes the drill useful. For most people the interruption itself isn't the expensive part — the recovery afterwards is, the seconds spent re-finding your place. Seeing the two numbers apart tells you which one to work on.

Agencies use different vendors, and each picks its own combination of components. This module appears in the batteries below — but check the job posting, because an agency using one of them may not run every part of it.

Drill the tab order until you stop looking

Fields are entered in a fixed order and you move between them with Tab, not the mouse. Every time your hand leaves the keyboard you lose a second or two, and reaching for a mouse mid-record is also where transposed digits creep in. Run the drill with the deliberate goal of never touching the mouse.

Type the whole value, then check it

Most people lose time by proofreading each field character by character as they type it. Enter the complete value, glance once, then Tab. Checking mid-field roughly doubles the time per field and does not measurably improve accuracy.

Numbers are where accuracy actually dies

Prose typing speed is not the bottleneck — phone numbers, house numbers, dates and case numbers are. If you type digits with one hand hunting the number row, that is the single highest-value thing to fix. Do not go back and re-edit unless you know you are wrong

Returning to a field you have already left is expensive and usually unnecessary. A vague feeling that you may have mistyped something is not a reason to go back; a clear memory of hitting the wrong key is.

Practice on the keyboard you will actually test on

If you will test at an agency test center on a standard desktop keyboard, practicing entirely on a low-travel laptop keyboard will flatter your accuracy. Get some runs in on a full-size keyboard with a real number row before test day.

Common questions

Do I need to be a fast typist to do well at data entry?

Speed helps, but accuracy is what most data-entry scoring rewards — an incorrect field is simply wrong, no matter how quickly you produced it. A steady, accurate typist usually outperforms a fast, sloppy one on this module. Our drill reports both, so you can see which side of that you are on.

Does capitalization matter?

In our drill, fields marked as upper case are compared case-insensitively — you will not be marked wrong for typing a name in lower case. Punctuation inside a value is treated as significant, though, because a hyphen in a surname is a real difference rather than a formatting preference.

Can I practice data entry on a phone?

You can open the page, but you should not score yourself on it. This module measures physical keyboard speed and accuracy, and a touchscreen will give you a misleading result in both directions. Use a laptop or desktop with a physical keyboard.

Will I see the same records twice?

No. Records are generated fresh from a new seed on every run, so there is nothing to memorize and you cannot run out of practice material.
